UPDOX FAX - Using the Updox Fax Inbox and tracking fax statuses

Once you have an Updox account, all inbound and outbound faxes are managed through your Inbox and the Outbound Fax dashboard. The Updox interface makes it easy to view incoming faxes, annotate them, route them to the patient chart or send them on to another recipient, and check the status of faxes you have sent.

Viewing and working with incoming faxes

  • Check the Inbox for new faxes. Inbound faxes show up in your Updox Inbox as blue line items. Click the small arrow (> sign) next to a fax to expand it and see all pages.

  • Annotate or sign pages. Clicking on a page opens the Document Editor; you can add text, insert a physician‑signature stamp or highlight information as needed. Save your edits when finished.

  • Select specific pages. Before filing or forwarding a fax, you can choose only the pages you need by checking the box on each page.

  • File to the patient chart. If your Updox is connected to eClinicalWorks, select Send Item, search for the patient by name, DOB or chart number and click Send to EHR. You can enter a subject, choose the chart category and add notes.

  • Send the fax out. To fax a document to an outside recipient, select the pages and click Send. You’ll be prompted to enter the fax number, subject, optional cover sheet and from‑number. Click Send to transmit the fax.

  • Confirm delivery and handle failures. Open the Sent folder to check the status of your fax and retrieve a confirmation page. If a fax fails, it will reappear in your Inbox with a failure reason; you can try resending or enter a different fax number via Send Item.

Using the Outbound Fax dashboard to track statuses

For a broader view of outgoing faxes, open the Outbound Fax dashboard (found under Faxing → Outbound Faxes). This page displays all faxes sent on a chosen day:

  • Filter by date or status. The dashboard shows one day’s worth of faxes on one screen. Use the Date selector to view another day or a date range (up to seven days). Use the Status selector to show only successful, pending or failed faxes.

  • Sort and search. You can sort the list by any visible column and use the search box to find a specific fax within the selected day.

  • Understand visibility. Standard users see the same faxes in this dashboard that they see in their Sent folder; admin users can see all faxes sent from the practice, regardless of permissions.

  • Automatic updates. The dashboard refreshes automatically when new faxes are sent or when pending faxes complete.

  • View details and resend. Click a row or the down‑chevron to open the fax details. You can view or download the confirmation page, download the fax (or both), and resend it if needed.

  • Key fields. The detail view includes useful fields such as the sender, recipient, sent and received times, number of pages, failure reason (if any) and the time to completion. These help you understand how long a fax took and why it may have failed.
