UPDOX FAX - Using Fax Tags to Organize and Filter Faxes

Tags in Updox act like colored labels that let you categorize faxes by department or topic. When you tag incoming or outgoing faxes, they become easier to find and route to the right team. Our clinic uses Billing (blue), Medical Assistants (green), Medical Records (red), Precerts (pink) and Benefits (yellow) tags, along with No Tag for unclassified items.

Why use tags?

  • Organize the inbox. The Tags menu in Updox shows all active tags and lets you create new ones, choose colors, and reorder them. Placing billing‑related faxes under the Billing tag or prior‑authorization requests under Precerts ensures they don’t get lost.

  • Control visibility. Tags can be inactivated (hidden from new faxes but still visible on previously tagged items) or deleted completely. Deleting a tag removes it from all items and from the Tags menu.

  • Boost collaboration. Assigning tags lets different departments quickly identify which faxes belong to them. Team members can filter the inbox to show only faxes tagged with their department and avoid sifting through unrelated documents.

Tagging faxes

  1. Open the fax in your Updox inbox and click the tag icon in the fax’s title bar.

  2. Choose the appropriate tag from the list. Tags appear in the order defined in the Tags menu, and you can scroll or type to find the desired tag quickly.

  3. If you need to create or edit a tag, go to Menu → Admin → Tags. Here you can add a tag (name and color), reorder tags, edit a tag, or deactivate/delete obsolete tags.

  4. Once you select a tag, the colored label appears next to the fax title to indicate its category.

Filtering faxes by tag

To focus on a specific type of fax, click the tag filtering button in the upper‑right toolbar of the Inbox and select the tag or tags you wish to see. Only faxes with those tags will appear, making it easier to prioritize work. For example, medical assistants can filter by Medical Assistants to view only items relevant to them.

Using tags consistently ensures that faxes are routed to the correct department, reduces clutter, and improves overall workflow. Encourage staff to pick a tag whenever they handle a fax so that everyone knows where the document belongs.
