Instead of all faxes landing in a single inbox, queues segment messages by purpose or department, making it easier for the right people to see and act on them. Queues are a way to partition your Updox Inbox so that only designated users see and process certain messages. The Updox knowledge base explains that queues allow you to segment messages in your inbox to designated users or by message type. For example, you could create a queue for incoming medical-record requests handled by a specific subset of staff.
When fax lines are ported or forwarded into Updox, you can route them directly to a queue, bypassing the general inbox. This ensures that only users assigned to the queue can view and work those faxes. Routing to a queue is ideal for sensitive documents that should not be visible to all staff.
When you send a fax, you can select a queue as the “from” location. If multiple fax numbers are assigned to the queue, a secondary drop‑down lets you choose which number to send from. On the coversheet, the queue name populates the [fromName] field and the correct fax number populates [fromFax].
Faxes sent from a queue appear in the Sent folder for users assigned to that queue only. This ensures that team members working in that queue can monitor status and resend items without cluttering other staff members’ inboxes. If you use the Fax Back feature, Updox automatically retains the queue information so the fax is returned through the same queue.
Queues help practices maintain clear lines of responsibility. By directing inbound faxes and outbound tasks to specific teams (such as referrals, medical records, or billing), you reduce the risk of items being missed or processed by the wrong person.
