New Setups and Security Guidelines

Whenever a new office, exam room, or device is being added, create a request under Setup & Security. Include what you need (for example, “new PC in exam room,” or “install camera at front desk”) and your target date. IT will coordinate wiring, vendor scheduling, and configuration so everything is ready before you start using it. For upgrades — such as faster internet or new fax lines — include your current provider details to speed up approval.

Security is everyone’s responsibility. Always lock your computer when leaving your desk, use strong passwords (at least 8 characters with letters, numbers, and symbols), and never share credentials or send patient data through personal email. Suspicious or phishing emails should be forwarded immediately to IT before clicking any links.

All staff are expected to follow HIPAA and data-protection guidelines. Never store patient files on personal drives or USBs. All shared data must stay within OneDrive or the EMR system. These practices protect both patients and staff from data breaches and compliance violations.
